These businesses sell time and expertise. Their manual work sits in billing, proposals, intake and paperwork, not on a production line. So that is where the automations below focus.

The dollar figures use May 2025 median hourly wages for the Austin metro from the BLS Occupational Employment and Wage Statistics. Each one is an illustration with its assumptions written out, not a promise.

Patient records bring HIPAA obligations, so this runs only on infrastructure your compliance lead approves.

Today and after

Texas rules that shape the design

The Texas Data Privacy and Security Act took effect July 1, 2024. The Attorney General says businesses that meet the SBA small business definition are generally exempt, except that selling a consumer's sensitive data requires consent first.

The Texas Responsible Artificial Intelligence Governance Act took effect January 1, 2026. For clinics, the important part is section 552.051: if an AI system is used in relation to a health care service, the provider must disclose that to the patient. We build that disclosure into the intake flow instead of leaving it to memory.

If an automation places calls or texts with an AI-generated voice, the TCPA applies. The FCC's February 2024 declaratory ruling confirmed that AI voices count as "artificial" voices, which need the called party's prior express consent.

When not to automate yet

If you send fewer than 20 invoices a month, automate intake or proposals first. The billing savings will be too small to justify the build.

If your time entries are not approved before month end, fix that habit first. An automation will only send bad numbers faster.

You own the n8n instance or account, the workflows and any code from day one. People stay in the loop for anything that sends money, signs a contract or touches a patient record.
