Your team is renaming PDFs called scan0034.pdf and typing box 1 from a W-2 into software that could have read it.
This is not a staffing problem, and it is not your clients' fault for sending phone photos. It is an intake problem: documents arrive in a dozen formats through a dozen channels, and a person is the only connector between them and your tax or bookkeeping software.
What we would do first
We would pick one document type that arrives in volume, usually W-2s, 1099s or monthly bank statements, and measure how long it takes to get one from the client's inbox into your software today. Then we build extraction for just that type, check it against your security plan, and only expand once your staff trust it.
Rules that shape the work
Two sets of rules matter here, and neither is optional.
Data security. In IR-2026-92 (August 18, 2026), the IRS and its Security Summit partners repeat that federal law requires tax and accounting professionals to create and maintain a Written Information Security Plan, with Publication 5708 as a template. The FTC's Safeguards Rule guide lists tax preparation firms among the financial institutions the rule covers. So every automation we build is documented as a service provider in your plan: where data goes, who can see it, how long it stays.
Advertising. Circular 230 section 10.30 prohibits a practitioner from using any public communication with false, fraudulent, coercive, misleading or deceptive claims. An IRS bulletin from May 2026 adds that enrolled agents cannot use the term certified or imply an employer-employee relationship with the IRS. We write ad copy and service pages with that in mind. "Enrolled to practice before the IRS" is fine. "IRS-certified" is not.
Your website
Accounting clients buy trust and deadlines. The site should make both obvious.
- Separate pages for individual returns, small-business bookkeeping, payroll and tax resolution, because people search for each differently.
- Credentials stated accurately: CPA license state, EA status, and what each person can and cannot do.
- A secure upload link instead of an email address, so documents stop landing in personal inboxes.
- A plain fee explanation or starting prices, if you are comfortable publishing them.
- A booking link that closes to new individual returns when you are full, so you stop taking calls you will turn away.

Google Ads: seasonal, and priced like business services
The LocaliQ 2026 search advertising benchmarks have no accounting category. The nearest, Business Services, averages $5.87 per click, a 4.85% conversion rate and $93.69 per lead. Use it as a starting point, not a promise.

Honest limits
If you prepare fewer than 150 returns a year, extraction may not repay its setup cost yet; a secure upload link and a checklist chaser will do more. And if your documents are mostly handwritten notes, extraction accuracy will disappoint you.
