What we would do first

We would measure the days between delivery and invoice for your last 50 loads, and where the time went. Often the answer is waiting for POD paperwork to be matched and keyed. We automate that match first, because it moves cash.

FMCSA rules that shape the back office

Driver qualification files. 49 CFR 391.51 requires a motor carrier to maintain a qualification file for each driver it employs, including the employment application, a motor vehicle record from each licensing authority and the road test certificate or its equivalent, among other items. Records expire and need renewing, which is exactly the kind of date tracking that should not depend on memory.

Clearinghouse queries. Under 49 CFR 382.701(b), employers must query the Drug and Alcohol Clearinghouse at least once per year for every employee subject to testing. We build a calendar that tracks each driver's last query date and warns 30 days ahead.

Brokers. If you also broker freight, 49 CFR 387.307 requires a $75,000 surety bond or trust fund, with bonds filed on Form BMC-84, and FMCSA will not register a broker without it. The section as currently published is effective January 16, 2026.

Automation here never files anything with FMCSA on its own. It collects, reminds and flags, and a safety manager signs off.

Five automations for how a carrier runs

  1. POD and BOL matching. Photos and scans are read, matched to the load and rate confirmation, and discrepancies in pieces, weight or signatures are flagged before invoicing. See document data extraction.

  3. Invoice packet assembly. Once a POD is matched, the invoice, rate confirmation and POD go out together to the broker or factoring company.
  4. Driver file and query tracker. Medical certificates, MVRs and Clearinghouse query dates are tracked per driver, with warnings before anything lapses.
  5. Driver applicant intake. Applications are checked for license class and experience, and qualified applicants get an interview slot automatically.

Honest limits

If you run fewer than five trucks, a clean spreadsheet and a checklist may be enough for driver files; start with POD matching. And if your TMS already reads rate confirmations well, we connect to it instead.
